Welcome to VoiceBox, a product of Personar Limited ("Personar", "we", "us", or "our"). VoiceBox is part of our CoachScribe platform, designed to provide audio intelligence and coaching analytics for sports professionals. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our VoiceBox mobile application (the "App").
Please read this Privacy Policy carefully. By downloading, installing, or using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not download, install, or use the App.

Personal Information: When you register for an account, we may collect your name, email address, organisation name, job title or role, and profile information you choose to provide.
Audio Data: The App is designed to capture and process audio recordings for coaching and sports analysis purposes. This includes voice recordings during training sessions, matches, and coaching activities. Audio data is processed using our proprietary AI technology to provide insights and analytics.
Usage Data: We automatically collect information about how you interact with the App, including features used, time spent in the App, crash reports, and performance data.
Device Information: We collect device identifiers, operating system version, device type, and mobile network information to ensure the App functions correctly on your device.
We use the information we collect to provide, maintain, and improve the VoiceBox App and CoachScribe platform; process and analyse audio data to deliver coaching insights and analytics; communicate with you about updates, features, and support; ensure the security and integrity of our services; and comply with legal obligations.
By using VoiceBox, you consent to Personar using your audio recordings to train, improve, and develop our artificial intelligence and machine learning models. This training helps us enhance the accuracy and quality of our coaching analytics, speech recognition, and audio intelligence capabilities.
When audio data is used for AI training purposes, we take steps to protect your privacy by removing or anonymising personal identifiers where technically feasible. However, due to the nature of voice data, complete anonymisation may not always be possible. The improved AI models resulting from this training may be used across our products and services.
If you do not wish for your audio data to be used for AI training purposes, please contact us at privacy@personar.ai to discuss alternative arrangements. Please note that opting out of AI training may affect your ability to use certain features of the App.
For users in the European Economic Area and United Kingdom, we process your personal data based on contractual necessity (to provide our services to you), your consent (particularly for audio recording, processing, and AI training), our legitimate interests (to improve and secure our services), and legal obligations (where required by applicable law).
We may share your information with your organisation or team (if you are using VoiceBox as part of an organisational subscription); professional advisers and regulatory authorities as required by law; and potential acquirers in the event of a merger, acquisition, or sale of assets.
We do not sell your personal information or audio recordings to third parties. Your audio data is retained and processed solely by Personar for the purposes described in this Privacy Policy, including the provision of services and AI model training and improvement.
Your data is stored on secure cloud servers with industry-standard encryption both in transit and at rest. We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. Audio data is processed using secure AI infrastructure and is subject to strict access controls.
We retain your personal information for as long as your account is active or as needed to provide you services. Audio recordings and derived analytics are retained in accordance with your organisation's data retention policies or for a maximum of 12 months from the date of recording, unless you request earlier deletion. Audio data that has been incorporated into AI training models may persist in those models indefinitely in an aggregated and non-individually-identifiable form. You may request deletion of your identifiable data at any time by contacting us.
Depending on your location, you may have rights including access to and copies of your personal data; rectification of inaccurate or incomplete data; erasure of your personal data; restriction of processing; data portability; objection to processing; and withdrawal of consent at any time (including consent for AI training). To exercise these rights, please contact us at privacy@personar.ai. We will respond to your request within 30 days.
The App is not intended for use by children under the age of 18. We do not knowingly collect personal information from children under 18. If you are a parent or guardian and believe your child has provided us with personal information, please contact us, and we will take steps to delete such information.
Your information may be transferred to and processed in countries other than your country of residence, including the United Kingdom, European Union member states, and other locations where we operate. We ensure appropriate safeguards are in place for such transfers, including Standard Contractual Clauses approved by the European Commission or UK Information Commissioner's Office.
The App may contain links to third-party services or integrate with third-party platforms. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you access through the App.
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy in the App and updating the "Effective Date" at the top.
